PresidentThe President is responsible for overseeing the other officers as well as planning and conducting all meetings. Experience as a Tau Beta Pi officer is strongly recommended. The President also acts as the representative of the society in correspondence with other chapters, organizations and faculty. The President gets to interact with many people on different levels. The President is a year-long position. President-ElectThe President-Elect works with and learns from the current President in order to arrange a smooth transition from one President to the next each year. The President-Elect is elected at the end of the fall semester and serves during the spring. At the end of the spring semester, the President-elect assumes the President position for the next academic year. Vice-PresidentThe Vice-President assists the President in overseeing the chapter's activities. The Vice-President should have experience as a Tau Beta Pi officer and understand how the chapter functions. The Vice-President is responsible for reserving meeting rooms, creating a resume book and organizing the Fall and Spring FE Reviews. In the President's absence, the Vice-President is responsible for conducting meetings. The Vice-President will also interface with university faculty, staff and other student organizations. The Vice-President is a year-long position. Vice-President of Electees (2)The Vice-President of Electees is a two-officer position. It is strongly recommended that one of the VP of Electees has previously held the position. The VP of Electees are responsible for the electee process. Together, the two VP of Electees are the primary contact between the society and the electees and oversee all electee activities including the completion of all paperwork and electee requirements. The VP of Electees position is time-consuming, but a very social and rewarding position. The VP of Electees is a semester-long position. Graduate CoordinatorThe graduate coordinator position is similar to the VP of Electees. The graduate coordinator(s) is responsible for the graduate students’ electee process including the determination of eligibility and the completion of all paperwork and requirements. The Graduate Coordinator is a semester-long position. Service Chairs (2)The Service Chairs provide the society with a variety of university and community service activities throughout the semester. The service chairs find and organize the projects as well as keep the officers, members and electees informed on service opportunities. The service chairs may also work with the fundraising chair on certain activities. The Service Chairs term is one semester. TreasurerThe Treasurer is responsible for day-to-day monetary transactions of the society. Along with the President, the Treasurer creates and administers the budget and submits the end of the year financial report. The Treasurer also works with the fundraising chair to coordinate money-making projects and is responsible for reimbursement of socials and service projects. The Treasurer manages two accounts: the chapter's own checking account and the college supplied foundation account. The Treasurer is a year-long position. HistorianThe Historian(s) is responsible for attending chapter meetings, socials and service projects and taking pictures. After meetings, socials and service projects, chapter project reports are filled out and the Historian(s) is responsible for collecting the project reports. At the end of the Spring semester the Historian(s) compiles all of the chapter project reports and pictures into a chapter survey sent to Nationals. This chapter survey is vital in our chapter receiving awards at national convention. The Historian is a year-long position. CommunicationsThe Communications chair is in charge of creating and overseeing the disbursement of all chapter announcements and flyers. The main part of this is completed prior to the information session at the beginning of the semester and before/during the FE Reviews. The Communications Chair is also responsible for notifying members and electees of the time and place of each meeting at least two business days in advance of the meeting and again the day of the meeting. The Communications chair is a semester-long position. CatalogerThe Cataloger is responsible for distributing and collecting the electee catalog cards. After collecting the catalog cards, the Cataloger enters the information into the online system and mails one set of the catalog cards to Nationals and files the other set with our chapter records. The Cataloger is a year-long position. SecretaryThe Secretary is responsible for keeping minutes at all of the society's meetings. Additionally, the secretary will prepare the meeting agendas. The Secretary is a year-long position. Social Chairs (2)The Social Chairs are expected to plan, attend and complete chapter project reports for socials during the semester as well as order/bring food to all chapter meetings. The Social Chairs work closely with the Treasurer to keep within budget and receive reimbursement. This position allows for creativity in planning various activities and events. The social chairs term is one semester. Banquet/Awards CoordinatorThe Banquet Coordinator plans the end of semester banquet that directly follows initiation. The Banquet Coordinator reserves the location, prepares the program, finds and invites a guest speaker and plans the menu while working with the Treasurer to keep within budget. The Banquet Coordinator will also work with the VP of Electees, Grad Coordinator, Member Coordinator and President to determine the semester awards given at banquet. The Banquet Coordinator prepares the awards and works with the President to collect funds for the awards. The Banquet Coordinator also keeps track of all attendees and guests. The Banquet Coordinator is a one-semester position. Member CoordinatorThe Member Coordinator keeps our chapter members informed on all upcoming events and activities. The Member Coordinator may also plan member-only socials and service projects. It is also the Member Coordinator's responsibility to keep track of all members' status through our point system and ordering, distributing and collecting stoles for eligible members before/after graduation. The Member Coordinator is a one-semester position. Alumni CoordinatorThe Alumni Coordinator is responsible for starting and maintaining an alumni database. In addition, the Alumni Coordinator must compile articles from officers for the annual Alumni Newsletter. There is a lot of creativity allowed in this position to invite alumni to participate in chapter activities and events as well as plan special alumni gatherings. This is a position that will begin from the ground-up and will be allowed to develop. The Alumni Coordinator is a one-semester position. FundraiserThe Fundraiser plans and organizes fundraising events and opportunities for the chapter. While there are many opportunities for fundraisers, he two most notable events are working the football games in the fall and working with the VP to conduct FE Reviews each semester. The Fundraiser may work with the Service chairs, Member Coordinator and VP of Electees to plan some events and obtain electee and member participation. The Fundraiser is a one-semester position. Initiation CoordinatorThe Initiation Coordinator plans the initiation ceremony at the end of each semester. The Initiation Coordinator reserves the initiation room, assigns roles to officers or members, tests all required equipment and obtains any materials needed. The Initiation Coordinator is a one-semester position. BEC RepresentativeThe BEC Representative(s) is responsible for attending all BEC meetings and keeping the chapter updated on upcoming college-wide activities. The BEC Representative also works with the E-Fair Representative to coordinate all E-Week related activities. The BEC Representative is a one-semester position. E-Fair RepresentativeThe E-Fair Representative is a member of the Engineers’ Week Committee and attends all scheduled meetings for the event. The E-Fair Representative is responsible for planning, organizing and setting up the events sponsored by Tau Beta Pi at the annual Engineers’ Fair. The E-Fair Representative is a year-long position. WebmasterThe Webmaster is responsible for maintaining our chapter's website with updated news, dates, pictures and contact information. The Webmaster works with other officers to post updates and make modifications to the website as needed. The Webmaster is a one-semester position. K-12 Initiative CoordinatorThe K-12 Initiative Coordinator is responsible for organizing, planning and conducting meetings and events associated with the K-12 Initiative. This coordinator is also responsible for keeping the Chapter informed of involvement opportunities. The K-12 Initiative Coordinator is a one-semester position. SECME CoordinatorThe SECME Coordinator is responsible for organizing, planning and executing the regional SECME Olympiad. In the Fall semester, the SECME Coordinator is responsible for maintaining communication and hosting a meeting with teachers involved in the event. In the Spring semester, the coordinator organizes a team of SECME officers to plan all aspects of the event. |
